The Executive Assistant will serve as a key operational and administrative partner to the CEO and executive leadership team. This role is responsible for ensuring smooth execution of high-priority tasks, optimizing day-to-day operations, and supporting effective communication and decision-making across the organization. The ideal candidate brings a balance of organizational excellence, initiative ownership, and cross-functional coordination.

Responsibilities:

  • Provide high-level administrative support to the CEO, including executive calendar management, travel planning, and scheduling across internal and external stakeholders
  • Support the CEO with day-to-day operations, communications, and follow-through
  • Lead and manage special projects or strategic initiatives from planning to execution
  • Drive alignment across departments to support the implementation of company goals
  • Prepare reports, presentations, and executive summaries for internal and external stakeholders
  • Facilitate leadership meetings, including agenda preparation, note-taking, and tracking of action items
  • Identify and implement process improvements that enhance organizational effectiveness
  • Monitor progress on priority initiatives and provide regular updates to the leadership team
  • Act as a liaison between the CEO and internal/external stakeholders
  • Maintain confidentiality on sensitive matters and support the CEO in legal, compliance, and personnel-related topics

Qualifications:

  • 10+ years of experience supporting senior executives, managing complex calendars, and handling executive-level operations
  • Bachelor’s degree required; additional certifications (e.g., MBA, PMP) are a plus
  • Exceptional organizational skills with the ability to manage multiple priorities simultaneously
  • Experience supporting cross-functional teams and executive-level communications
  • Excellent written and verbal communication skills
  • High level of professionalism, discretion, and integrity
  • Strong problem-solving abilities and attention to detail
  • Proficiency with Microsoft Office Suite, including strong skills in Excel, and experience with project management tools (e.g., Jira, Smartsheet, Asana)
  • Comfortable working in a fast-paced, dynamic environment
  • Ability to build strong relationships across all levels of the organization
