Job Title: Compliance & Operations Administrator

Job Type: Full-Time (40 Hours In-Office | On-Call as Needed)
Reports To: Director of Operations / Compliance Manager
Job Summary:
The Compliance & Operations Administrator is responsible for managing utility and facilities operations across a portfolio of 300+ properties. This position supports cost tracking, compliance reporting, vendor coordination, and license/permit management to ensure operational excellence and regulatory alignment. This is an in-office role requiring strong organizational skills, attention to detail, and the ability to respond to operational needs outside of standard business hours when necessary.
Key Responsibilities:
- Oversee utility services and accounts for a portfolio of 300+ properties
- Track and analyze utility costs; generate monthly and quarterly variance reports
- Manage day-to-day repair and maintenance requests, ensuring timely resolution
- Maintain strong relationships with vendors, including onboarding, compliance, and performance oversight
- Review vendor invoices and coordinate accounts payable processes
- Assist in forecasting utility expenditures and preparing annual budgets
- Maintain current licenses and permits, including fire inspections, occupancy permits, and business licenses
- Ensure compliance with all applicable local, state, and federal regulations
- Support compliance audits and internal documentation reviews
- Proactively identify process improvements and help implement operational efficiencies
Requirements:
- 3–5 years of relevant work experience in compliance, operations, or property management
- Associate's or Bachelor's degree in Business Administration, Operations Management, or a related field (or equivalent work experience)
- Strong proficiency in Microsoft Excel, specifically in forecasting, budgeting, and variance analysis
- Experience managing utility accounts and facility maintenance operations preferred
- Familiarity with vendor management systems and accounts payable processes
- Strong attention to detail with excellent time-management and organizational skills
- Ability to prioritize and manage multiple ongoing projects in a fast-paced environment
- Clear and effective communication skills, both written and verbal
- Willingness to be on-call as operational needs arise
